The Position

As a Corporate F&B Administrative Assistant, you will provide administrative support to the Vice President of Food and Beverage, and the Corporate F&B team.  Follows through and tracks projects, and assists with general office administration. 

 

Key Responsibilities

  1. Monitors sales, expenses, promotions, prepares purchase orders or draws from existing stocks, and processes invoices.
  2. Drafts and prepares presentations, board reports, publications, and other documents.
  3. Prepares agenda packages for the Food and Beverage Vice President
  4. Maintains daily appointment calendars of members of executive team.
  5. Takes and distributes minutes for executive meetings of highly confidential subjects.
  6. Presents a positive and professional image of the executive office to all visitors, suppliers, inquiries, and other interactions.
  7. Coordinates meetings, (including executives from Food and Beverage, other Departments as necessary, consultants when relevant, senior management and budget meetings) prepares agendas and meeting materials, arranges catering.
  8. Makes travel arrangements and reservations, secures accommodation, car services and other related arrangements.
  9. Completes expense reports.
  10. Word processing, filing and other administrative duties as assigned.
  11. Handling office administration duties. This includes:
  • Responding to telephone calls
  • Receiving deliveries, managing the daily flow of incoming and outgoing mail including couriers and faxes
  • Calling in a service order for office equipment failures and maintenance.
  • Monitoring and maintaining Outlook calendar events, meeting room and conference line bookings
  • Monitoring paper and toner levels and restocking/replacing these items for photocopiers
  • Ensuring relevant office spaces, meeting rooms, copy rooms and kitchen areas are tidy
  1. Participates in projects and takes on other responsibilities as required.

 

What You’ll Require

  • 5+ years experience supporting senior level administrators as an Administrative or Executive Assistant preferred
  • Proficiency skills in Microsoft Outlook, Ms Office, Word, Excel, PowerPoint, Adobe Acrobat Professional and web browsers
  • Experience working in Operations and Finance environments preferred
  • Diploma or post-secondary certificate preferred
  • Typing speed of 40 WPM preferred
  • Strong verbal and written communication skills
  • Some overtime work as required
  • May require travel
