The Position

As an Administrative Assistant, you will provide administrative support and reception services.  Follows through and tracks projects, and assists with general office administration. 

 

Key Responsibilities

      1.Monitors F&B outlet’s sales, expenses and results on promotional activities.

Provides support on purchase orders and processing of invoices.

  1. Processes end closing reports and prepares reconciliation reports.
  2. Processes and distributes due backs for servers.
  3. Coordinates specific project tasks, functions, and presentations. Produces documents using word processing, spreadsheet and presentation software.
  4. Ensures reservations are arranged by booking required space, equipment and materials, catering and seating arrangements.
  5. Assists with the labour management systems and reporting on daily outlet labor.
  6. Updates social media postings with food and beverage events and promotions.
  7. Monitors deadlines and projects to ensure required dates are met.
  8. Screens incoming calls or requests by: forwarding to appropriate person, taking messages or taking action.
  9. Coordinates month end food and beverage inventory.
  10. Assists with HR issues, performance, safety and recruitment needs of the department and prepares and manages related documentation.
  11. Assists with data and system updates.

 

What You’ll Require

  • Minimum 3 year experience in an administrative capacity
  • Post- secondary certificate or diploma in a relevant field or equivalent combination of education and experience
  • Working knowledge with Ceridian Dayforce an asset
  • Excellent administrative and organizational skills indicated by the ability to work independently, effectively and with a high level of detail
  • Working knowledge of Microsoft Office (especially Excel) and data base applications
  • Demonstrated ability to maintain effective working relationships and to explain / interpret policies and procedures, to maintain confidentiality and to communicate effectively with discretion both verbally and in writing
  • Demonstrated ability to work under pressure, to multi-task, to take initiative, to anticipate potential problems / conflicts and take appropriate actions to organize, prioritize and meet deadlines
  • Excellent customer service skills including demonstrated ability to be friendly, efficient, polite and patient
  • Excellent communication skills (verbal and written)
