Position Summary:
Reporting to the Administration Supervisor, the Administrative Assistant is responsible for various administrative duties, including but not limited to pricing requests per contract, updating customer portals, invoicing, some purchasing, creating and reconciling purchase orders, supporting all areas of the business in all 3 branches.

Key Responsibilities/Accountabilities:
- Compile, verify and investigate to ensure information is correct and entered the appropriate data bases for work time for field employees; and travel time correlates with billed work time for customers.
- Act as a liaison between office, field, and warehouse staff in coordinating paper flow processes
- Input time entry for all vendors into vendor and UFA data bases (Real Suite, API, Q&A).
- Review and process work order requests for invoicing.
- Assist with invoicing when required.
- Purchasing when required.
- Assist with Accounts Payable, Visa expenses, employee expenses and other administrative duties as required.
- Assist with Dispatch when required.
- Assist time entry for payroll when required.
- Other administrative duties as required.
Qualifications required for the position:
- Business or Office Administration diploma.
- 3 – 5 years’ experience in the electrical, mechanical, or downstream petroleum industry.
- Microsoft proficiency
- Strong time management skills and the capacity to work within specific deadlines.
- Must be a strong Team Player
- Problem solving and troubleshooting; specifically, the ability to:
- Develop a logical approach to solving a problem
- Identify possible solutions and their impact
- Identify where additional skills or resources are required and initiate their involvement.
- Identify critical issues requiring escalation and co-ordinate third-party involvement.
- Ability to collect and analyze system performance data to either solve specific problems or plan for future operations.
