We are seeking an outstanding project manager designs, plans and implements sophisticated projects, either standalone or as part of a larger program, according to scope, schedule, cost, resources, and outcome & results set for delivery. Key accountabilities include:

  • successful project delivery in line with the defined success factors and set goals
  • effective, collaborative and consistent project communications and reporting to business and IT partners
  • smooth change deployment and handover to operations, driving quality and compliance

  • contribution and ongoing improvement of the project management tools and methodology (as part of the project management community)

What you’ll do

Accountable for successful project delivery in line with the defined success factors and set goals

  • Lead in the delivery and governance of projects which support and enhance IT Solutions to agreed success factors and KPIs (time, cost, quality, scope, risk and budget). Evaluate and supervise these KPIs throughout the project lifecycle.
  • Set, deploy and demonstrate effective governance controls around risk and issue management and partner concern
  • Manage and supervise budget, providing an ongoing challenge around scope and associated business case, and (if and when required) submit changes to the budget authorisation process
  • Identify and source the required resources, either external or internal, as well as supervise and handle their performance throughout the project, providing corrective supervision if vital
  • Apply and encourage Agile approaches when appropriate

Accountable for effective and consistent project communications and reporting to business and IT partners

  • Develop and maintain a clear partner map highlighting different partner needs and interaction preferences
  • Build and maintain strong relationships with internal and external partner vital to the success of the project
  • Establish clear communication mechanisms to promote project vision, direction, priorities as well as manage diverse partners’ expectations incl. sponsor, business representatives, suppliers
  • Issue project status reports that target key partners needs and enable progress transparency as well as early warning of any upcoming risks and issues

Accountable for smooth change deployment and handover to operations, driving quality and compliance

  • Plan, coordinate and oversee all handover activities, actively preparing and training operational teams to take on the new solution / service
  • Engage with service and release management to provision the vital environments and processes to support new solution / service
  • Manage handover risks and issues, resolving any high impact and urgent issues and securing any relevant approvals to launch the transition to operations
  • Provide vital support to the operational teams post-handover, checking that solution performance hits the expected measures and performance indicators

Accountable for successful adoption of the solution, ensuring appropriate roll-out strategy and engagement

  • Provide business partners with the right information and transparency that enables functional impact assessment and helps shape the right organizational change initiatives
  • Develop and provide project specific content for wider communication and engagement initiatives (working with the Internal Communications team)
  • Provision post implementation support to ensure no detrimental effect on the business as usual (floor-walking, remote support, etc.)
  • Encourage business feedback on the solution / service performance, testing it against initial project requirements and expectations

Job specific aspects of role

  • Vendor management: ranges from no vendor management responsibilities through to management of multi-vendor teams across the initiative(s).
  • Budget: ranges from up to $1m through to $3m+
  • Project complexity and scale: ranges from small, low complexity projects with limited dependencies. Might get introduced to large, high complexity projects that have multi-functional impact with key dependencies on other programmes and projects
  • Service / technology experience: ranges from broad understanding and strategic grasp of key technologies to a deep subject matter expertise in a particular field or technology

Risks & Controls

  • Identify, own and lead the specific key risks and/or IT controls and BP standards that you are identified as the owner and/or nominee for on iCARE
  • Ensure that issues and actions associated to controls / risks are remediated in a timely manner
  • Maintain appropriate records on iCARE.
  • Ensure that controls are sufficiently well designed and operating effectively to keep the risks that they mitigate within Aviva's tolerance level
  • Report and call out the status of the relevant risks, controls and standards as appropriate

Resource Complexity

  • Accountable for working within policy and guidelines, applying technical knowledge and expertise and prioritising own use of time
  • Accountable for managing internal and external resources working on the project; number and extent of resources will vary depending on the seniority. This will include: setting clear timelines and landmarks, co-shaping the results, resolving issues and dependencies, monitoring and managing risks and issues
  • Leaders are accountable for developing the capability of their team and their people and for driving the culture of the organization

Problem Solving

  • Accountable for solving problems and dealing with difficulties in line with policy, process and other guidelines applying technical knowledge and expertise. Depending on the nature of the specific role, problems can range from repetitive daily issues to sophisticated technical problems requiring significant expertise
  • Support project resources by giving advice or by taking on accountability to resolve more complex problems.
  • Accountable for escalation of the problems according to guidelines

Change

  • Accountable for taking personal initiative in adapting to change
  • Accountable for delivering the changes to certain aspects of the project (required to seek approval if outside the permitted project control thresholds)

Internal Collaboration

  • Accountable for building and maintaining effective relationships with the immediate project team as well as extended partners – incl. sponsor, business representatives and other projects and programs
  • Accountable for establishing and driving effective working relationships across relevant internal teams (where the projects are multi-disciplinary)

External Interaction

  • Accountable for building and maintaining collaborative effective relationships with external subject matter specialists and/or suppliers
  • Accountable for establishing and driving effective working relationships across internal and external teams, especially in projects with multiple vendors

Timeframe

  • Will typically work on projects lasting for a period of 6 months to a year

What you’ll bring

  • Detailed Project management knowledge
  • Strong partner engagement and management experience as well political awareness and collaborative
  • Strong and effective coaching and influencing skills to drive the necessary changes
  • Understanding of IT and Business strategy
  • Supervise record of IT project delivery either within Aviva or other organizations
  • Professional level of accreditation preferred (e.g. PMP)
  • Experience in a matrix environment

Must have:

  • Understands general accounting. P&L, Balance sheets etc...
  • Communicates effectively– both written and verbal
  • Has an Agile qualification as well as PM cert
  • Jira EXPERT

Nice to have:

  • Has worked in matrix with BU’s in various locations
  • Takes initiative and does not wait to be given instruction
  • Has a Financial services background – Insurance/Banking
