The Settlement Building
The office manager is a full time role with duties associated with the restaurant and the brewery. Your role is similar to that of an accounting clerk, handling many tasks and jobs that pertain to the effective running of the back end of our business.
Your primary responsibilities are:
Accurate reporting and entering of daily revenue reports. Sales from the restaurant and the brewery need to be entered into Big Chip for reporting purposes.
Batching weekly beer sales for Postmark and wine and cider sales from Vancouver Urban Winery
Daily cash out entering and recording
Building and maintaining tracking sheets for menu features
Building Postmark revenue reports
Updating and reporting on weekly P+Ls
Cash box handling, which includes:
Estimating and requesting cash withdrawals based on due-back amounts
Working with the GM to ensure there is a petty cash float for tips and due-backs
Tip out + Due-back distribution
Recording due backs for staff after entering cash outs, and distributing cash twice weekly (Tuesdays + Fridays)
Distributing tip pool for hosts and bartenders (Tuesdays)
Distributing manager, shift leader, and kitchen tips (Thursdays)
Office Administration Tasks
Managing the Accounts Payable email
Entering AP invoices (with the GM) into Big Chip portal for Belgard and Postmark
Creating and sending AR invoices and emails (with Postmark Retail Manager + GM) for customers such as contract brewers and private accounts
Entering and tracking wholesale payments for Postmark private sales (with Postmark Retail Manager)
Ordering office supplies from vendors such as Staples and CPAC
Managing intercompany transactions between Havana, Belgard, and Postmark
Registering UPC, SCC, and SKU codes for Postmark Innovation product
Filing excise with Head Brewer
Managing hours and posting payroll
Distributing cheques for staff and vendors
Liaising with Big Chip accounting team
Who We’re Looking For:
The Settlement Building is looking for an independent, responsible, trustworthy, and hardworking individual. You take initiative, can problem solve, work well with numbers, and report with clarity on the many aspects of the business. You have a background in Microsoft Excel, are comfortable with managing cash flow, and have great organizational and time management skills.
As part of this role, you may also be functional on the floor as a server or bartender. You have a passion for food and beverage, providing a great guest experience while having fun while doing it. You are an energetic team player who multitasks and works well under pressure, engaging, love social situations, and building relationships. You are keenly interested in craft beer, BC wine, and locally sourced food. You are receptive to feedback and looking to grow as a person.
Office hours: Monday + Tuesday, 8 am - 4 pm, Wednesday - Friday, 8 am - 11 am (as necessary)
Date Available: August 28th, 2019
Compensation: $17/hour starting with room to grow based on performance and experience
