Job Purpose
The Purchasing Assistant will lead the procurement of ingredients, finished products and packaging while providing crucial support to sales and marketing team members. The role involves assisting across all purchasing-related activities, as required to ensure seamless operations, timely deliveries optimal inventory level.
Job Accountabilities / Key Results Area
Procurement Excellence:
· Utilize ERP systems to issue purchase orders (ingredients, finished products and packaging) to ensuring optimal inventory levels for seamless operations.
· Proactive monitoring of both domestic and international shipments, providing real-time ETA updates to key stakeholders, including sales and customer service desks.
· Collaborate closely with the accounting department on invoice processing, resolving any payment discrepancies or claims with suppliers
Inventory Management:
· Execute thorough reviews of inventory reports to pinpoint products nearing expiration.
· Champion efforts with warehouse teams to investigate and rectify inventory discrepancies, update system counts as needed, perform physical counts where needed and participate in annual inventory counts for enhanced accuracy.
Logistics Operations:
· Partner with freight forwarders and customs brokers to optimize freight arrangements, ensuring timely and cost-effective deliveries.
· Prepare and maintain shipping and receiving documents, verifying accuracy
· Update purchase orders, shipping details and assign freight costs into the ERP system before physical receipt of goods, streamlining operations and enhancing visibility.
Supporting Regulatory Compliance:
· Maintain Bill of Materials (BOM) and update where necessary
· Support regulatory/ QA team to expedite compliance document requests and certifications to ensure compliancy.
Supporting Sales and Marketing:
Minimum Essential Qualifications and Technical Competencies
Formal Education
· Post secondary education in business
· SCMP designation is an asset
Work Experience
· Total Work Experience: 2-4 years
· Experience in the fast-moving consumer goods industry, food and manufacturing industry or a similar industry
Skills / Knowledge
· Excellent computer skills (Microsoft Office, Outlook, Excel, Sharepoint etc)
· High level of business awareness and acumen, with a good understanding of financial management
· Excellent communication and organisational skills
· Excellent analytical, critical thinking and problem-solving skills
· Fluent in spoken and written English
· Valid Drivers License
