Job Description

The Hugh Allen Clinic is a primary health care clinic servicing the Municipality of Sioux Lookout, and surrounding communities of Hudson, Pickle Lake, Saugeen, Lac Seul First Nation, Wabigoon First Nation and Dinorwic. The current patient load is approximately 6,500 patients. We currently have 13 physicians working within the clinic, hospital duties include emergency department, maternity, internal medicine, fracture clinic, stress testing, anesthesia,

etc.


The Hugh Allen Clinic is seeking to replace the retirement of our Administrative Manager.

Reporting directly to the Managing Physician, the Administrative Manager will be responsible for the supervision of a

team of 4 clerical staff 2 RPN nurses and will oversee all clinical functions related to the successful day-to-day operations of a busy medical clinic. This includes overseeing all clinical functions, including front office and reception duties, patient and physician scheduling, management of confidential patient records, payroll, accounts payable, and financial records.


Qualifications:

 CPA designation is preferred or equivalent education and experience would be considered

 Strong computer technology skills (Microsoft Office and website maintenance) and experience working with

Electronic Medical Records (EMR) systems;

 Strong knowledge of general as well as health administrative systems, HR policies and procedures;

 A strong propensity for process improvement with the ability to examine current processes and develop ways

and means to make the administration more effective and efficient;

 Working knowledge of the health industry

 Strong skills in human resource management and staff supervision; able to assess staff skills and capabilities of

staff, realign and restructure as necessary while at the same time, maintaining high levels of productivity;

 Good communication skills; able to work effectively with a group of independent physicians;

 Able to deal with on going changes in physician scheduling;

 Demonstrates critical thinking, problem-solving and conflict resolution skills;

Roles and Responsibilities:

 Works with physicians and staff to ensure quality patient care services;

 Ensures that physician and patient scheduling as well as administrative and operational needs related to

medical students and locums are managed in an efficient and effective manner;

 Maintains strictest confidentiality at all times;

 Ensures effective operation and management of the EMR systems and customizes the system within licensing

requirements to better serve the Hugh Allen Clinic;

 Assisting in the establishment and implementation of goals, objectives, policies and procedures and

operational systems for the clinic;

 Participates in the selection, administrative training and supervision of clinic staff; plans and coordinates daily

work assignments and operations;

 Conducts administrative staff performance reviews and recommends disciplinary actions;

 Resolves administrative and operational problems, including maintenance of clinic facilities, computer systems

and software applications and ensures compliance with regulations, standards, and licensing requirements;

 Recommends and implements approved policies and procedures that lead to process improvements in all

administrative and operational areas;

 Directs all billing and collecting procedures and ensures accurate coding for all medical billing requirements;

 Serves as the administrative liaison between the clinic and external agencies;

 Financial administration of the Hugh Allen Clinic includes payroll, accounts payable, accounts receivable,

budgeting and reporting for the anesthesia group;

 Assisting with special projects and recruitment of new physicians.

Salary:

Salary range $85,000- $100,000, dependent on qualifications and experience

based on 1,820 hours/year
