Reporting to the General Manager, the Event Manager is the key facilitator of all resort event requests. This role involves preparing event documentation, coordinating with various departments such as Guest Services, Housekeeping, Recreation & Leisure, and Culinary Leadership, and ensuring consistent, high-level service throughout all event phases. The Event Manager is also responsible for identifying and maximizing revenue opportunities by up-selling and offering enhancements to create outstanding events. $54,000.00-$60,000.00 per year
DESCRIPTION
- Organize all events, special occasions, and entertainment throughout the resort.
- Manage Banquet Event Orders (BEOs) and ensure clear communication.
- Oversee two coordinators, focusing on employee engagement and performance management.
- Handle all VIP visit requests continuously.
- Collaborate with multiple departments to respond to customer requests efficiently.
- Communicate event details verbally and in writing with clients, both internal and external.
- Act as a liaison between the WPBR team and customers throughout the event process.
- Maintain a visible presence to customers during the event process.
- Stay available to solve problems or suggest alternatives as needed.
- Identify operational requirements and work with employees and customers to execute events flawlessly.
- Lead pre-event and post-event meetings when necessary.
- Facilitate various meetings as required.
- Integrate current trends in event management and design.
- Gather customer feedback on product quality and service levels.
- Address customer concerns and complaints promptly.
- Empower employees to deliver excellent customer service.
- Conduct pre- and post-event meetings to review group needs and feedback.
- Solicit feedback from resort departments to identify areas for improvement.
- Ensure billing accuracy and conduct bill reviews with customers and the Finance department.
- Distribute all requests to the appropriate division promptly.
- Develop and maintain departmental operational policies and procedures.
- Create an annual departmental business plan.
- Ensure compliance with all policies, procedures, regulatory ordinances, governing laws, and generally accepted protocols and practices.
- Build strong relationships with the local community and businesses.
- Comply with all safety regulations and actively participate in the health and safety program.
- Adhere to all environmental policies and programs as required.
REQUIREMENTS
- Post-secondary education in Hotel and Restaurant Management, Hospitality, Business Administration, or a related field
- 5-10 years of experience in event planning or event execution
- Meeting Planners International designation (CMP or CMM) is an asset
- Experience in a hotel/resort environment
- Strong knowledge of the local area
- Knowledge of food and wine service, room setups, and AV requirements
- Excellent customer service skills
- Proficiency with property management, sales, and event management software, Microsoft Word, and Excel
- Strong verbal and written communication skills
- Experience with Maestro and Placez is an asset
- Detail-oriented with a high degree of accuracy
- Ability to multi-task in a fast-paced environment
- Extremely responsible with integrity and the ability to maintain confidentiality and discretion
