Position Summary

We are looking for an Executive Administrative Receptionist to join our team. The Executive Administrative Receptionist is a full-time, non-remote, Vancouver office-based position at the Dixon Mitchell Investment Counsel Inc. office. You will be the first face that clients and staff see upon entering the office, which requires a polished appearance and professional demeanor. The successful candidate will work directly with the Office Operations Manager.


Position Summary

The Executive Administrative Receptionist is a full-time, non-remote, Vancouver office-based position at the Dixon Mitchell Investment Counsel Inc office. The successful candidate will work directly with the Office Operations Manager.

Responsibilities

  • Greet guests – ensuring that clients, suppliers, and contacts have a stellar experience.
  • Manage office correspondence including email, mail, phone, and fax.
  • Fully operate office phone system and switchboard, screen and direct phone calls and emails to appropriate individuals.
  • Support daily operations including meeting room set up, booking schedules, and calendar management.
  • Handle lunch bookings and business travel arrangements when necessary.
  • Arrange couriers and collect, sort, and distribute mail.
  • Process various bank deposits.
  • Submit and manage office service maintenance requests and IT requests.
  • Responsible for opening and closing the office.
  • Maintain office kitchen, including stocking of snacks and unloading dishwasher.
  • Maintain office equipment and supplies.
  • Participate actively in the office safety committee. Maintain inventory of First Aid and Emergency preparedness kits.
  • Create, print, and bind presentation materials.
  • Assist in maintenance of client database records.
  • Organize and order weekly staff lunches.
  • General office duties such as photocopying, scanning and filing.
  • Provide administrative assistance to team members as required, including coordination and assistance with ad-hoc communications and projects.


Experience/Qualifications

  • Two years of experience in an administration and/or client facing role
  • Post-secondary
  • Exceptional customer service skills
  • Positive, dynamic attitude
  • Ability to adhere to confidentiality and handle confidential information.
  • Keen attention to detail, proactive, resourceful, and professional
  • Exceptional organization skills
  • Strong written and verbal communication skills
  • MS Office skills
  • Demonstrated organizational skills to effectively prioritize workload and meet deadlines.
  • Ability to work well under pressure in a fast-paced environment.


Compensation

Dixon Mitchell offers a competitive compensation package and comprehensive benefit plan.

Salary Range: $50,000-$55,000
