The Club is dedicated to providing unparalleled meaningful experiences for its members. 

POSITION SUMMARY

You are a representative of The Vancouver Club, and you must present yourself in a professional manner at all times. The Catering Coordinator will assist in the operations of the Catering Department. This "hands-on" position will include working closely with other departments, specifically Culinary, Service, Beverage, Member Services, Marketing, Facilities, and Accounting. The Catering Coordinator will be responsible for maintaining a positive work environment within the Catering and Banquet Teams while maintaining member service standards.

They will assist in providing high quality service based on guest requirements and Club standards. 

Reporting to the Catering Manager (the “Manager”) & Director of Catering & Events (the “Director”), responsibilities and essential job functions include but are not limited to the following

KEY RESPONSIBILITIES

Embrace the Club’s leadership best practices and Mission to help our Members create the best experiences of their lives 
Be proactive in achieving all catering and event sales goals relating to personal and team productivity as agreed for the year, in order to meet the approved budget of the Club
With the assistance of the Manager & the Director, complete contract negotiations with clients / group organizers in accordance with the Club’s policies, including the preparation of all contracts for the events you are responsible for
Work with the Catering team on negotiating strategies to maximize and secure the sale of corporate and social events
Assist in the preparation of advertising materials updates and collateral 
Plan and coordinate Weddings and events up to 200 people
Plan and coordinate our Club Committee meetings
Assist the Manager and Catering Assistant with their events as required
Prepare event orders (including floor plans) for the events you are responsible for (one week in advance) for distribution to all appropriate departments
Perform a weekly review of AV, Wine and supplies to ensure that all teams are prepared for upcoming events.
Oversee the Banquet team via the Banquet Manager, including inspecting rooms prior to events you are responsible for, to adhere to floor plans and Club standards
Support event set up and servicing when requested by the Service, Catering, and/or Events Managers
Prepare billing for their events
Send daily communication to Members and clients about upcoming events and banquets and follow up with Event Planners, Members, hosts and clients of the Club after your events are finished
Perform all other duties as required


PARTICIPATING IN AND LEADING THE CATERING TEAM

Participates in department meetings with the Catering team.
Applies and continually broadens knowledge of events and cutting edge trends
Acts as a liaison to the Culinary, Beverage, Banquets, Member Services, Accounting, and Facilities Teams
Leads shifts and actively participates in the servicing of events you are responsible for.


ENSURING AND PROVIDING EXCEPTIONAL CUSTOMER SERVICE 

Sets a positive example for guest relations.
Interacts with guests to obtain feedback on product quality and service levels.
Responds to and handles guest troubleshooting and feedback
Empowers team members to provide excellent customer service.
Ensures that the team has a clear understanding of expectations for events and service.
Strives to improve service performance.
Emphasizes guest satisfaction during all departmental meetings and focuses on continuous improvement.
Reviews guest satisfaction results with the teams involved by way of company communication channels and debriefings.

CONDUCTING STAFF TRAINING ACTIVITIES 

Observes service behaviours of team members and provides feedback for individuals through the Manager
Attends and participates in all pertinent meetings.
Participates in team training sessions on pertinent topics

QUALIFICATIONS & SKILL REQUIREMENTS:

Must have prior experience in a similar role or an equivalent position within the hospitality, service, or customer experience industry.
Experience in event sales, event planning and marketing required
Computer Knowledge (MS Excel, MS Word)
Excellent written and verbal communication skills
Demonstrate superior customer service philosophy
Must have a professional appearance and manner, a gracious attitude and the ability to interact with diverse groups as well as the ability to build strong relationships within the Club and Community 
Will be required to maintain a flexible work schedule including evenings, weekends and holidays.

Must be legally able to work in Canada.
