As we prepare for growth from 8 to 12 team members within the next year, we are seeking an Executive Assistant & Office Coordinator. Role Summary:
The Executive Assistant & Office Coordinator will play a crucial role in ensuring smooth operations and providing comprehensive support to the President. This dynamic position requires a blend of skills, balancing the use of technology with strong interpersonal abilities to support our team and enhance company productivity.
Key Responsibilities:
Executive Support
- Assist the President in scheduling, communications, and workflow management, enhancing efficiency. Manage and refine correspondence for professionalism. Organize meetings, securely handle information, and optimize time management strategies.
Office & Design Resource Management
- Maintain a creative and efficient workspace, ensuring the office and design library resources are updated, accessible, and supportive of our team’s efforts.
Marketing & Communications Coordination
- Collaborate with our marketing agency to execute communication strategies and marketing efforts, aligning with our commitment to service and fostering strong relationships with our clients.
Process Improvement & Project Support
- Support the Projects team in integrating AI and technology for operational efficiency enhancements, embodying our ethos of continuous adaptation and pioneering improvement.
Culture Ambassador & Team Engagement
- Promote a dynamic and positive company atmosphere by coordinating engaging events that nurture team unity and foster a sense of belonging.
HR & Onboarding Assistance
- Assist with HR processes, including recruitment and welcoming new team members, ensuring a workplace environment that is both nurturing and follows best practices.
Desired Skills and Qualifications:
- Bachelor's degree in Business Administration or certification in a related field (preferred).
- Proven experience in executive support and office coordination, adept at managing a variety of tasks.
- Exceptional communication and interpersonal skills, capable of fostering effective teamwork.
- Strong organizational skills with meticulous attention to detail, prioritizing efficiently in a dynamic setting.
- A genuine interest in leveraging technology and innovation to drive efficiency and support decision-making.
- Background in marketing, HR, or business administration is beneficial.
- A collaborative, strategic thinker with a problem-solving mindset.
