Job Overview:
We are looking for a detail-oriented Internal & External Events Coordinator to join The Frankie Solarik Holdings (BarChef, Bar Prequel, Compton) events team. This role is important for ensuring the smooth execution of external events through collaboration with our Events team, Mixologist Leads, and team members. The ideal candidate will have a passion for event planning, excellent organizational skills, and a deep appreciation for our cocktail program. The role will require a motivated individual to source and build relationships with companies outside of our internal network. Compensation will be hourly, with an additional commission based on leads generated outside of the BarChef network. Team member will have a monthly quota to meet for leads and sales.
Key Responsibilities:
Event Planning and Coordination:
Assist the Events team in executing internal & external events, including corporate functions, private parties, and off-site and on-site events.
Coordinate logistics for events, including site visits, setup, transportation, and breakdown.
Develop detailed event plans and timelines to ensure all aspects of the event run smoothly.
Team Collaboration:
Work closely with Mixologist Leads and Beverage Director to design custom cocktail menus tailored to each event when needed.
Ensure clear communication between all team members involved in the event, including mixologists, servers, and support staff for off-site and on-site events.
Facilitate team briefings and debriefings before and after events to ensure all aspects are covered and improvements are noted.
Client Relations:
Serve as the primary point of contact for clients regarding external events, providing exceptional service and ensuring their needs are met.
Initiate outreach to companies to establish client relationships and book events using BarChef events.
Conduct site visits and client meetings as needed to finalize event details.
Address any client concerns promptly and effectively to ensure satisfaction.
Logistics and Inventory Management:
Manage inventory and supplies required for events
Oversee the transportation and setup of equipment, ensuring everything is in place for the event.
Administrative Duties:
create contract preparation and management for each event
Prepare and maintain detailed event reports, including attendee feedback.
Support the Events team with administrative tasks as needed.
Track all sales and objectives
Maintain cleanliness of the events area and ensure the events team is accountable for all event details.
Qualifications:
Proven experience in event coordination or a similar role within the hospitality industry.
Excellent organizational and multitasking skills, with the ability to manage multiple events simultaneously.
Strong interpersonal and communication skills, with the ability to build and maintain relationships with clients and team members.
