We’re looking for an Executive & Office Coordinator to join our team and support our CEO while helping keep our office running smoothly day to day. This role blends executive support, office coordination, and hands-on follow-through — from managing inbox priorities and scheduling, to placing grocery orders, answering phones, greeting visitors, and making sure the small but meaningful details are consistently handled.

Success in this role requires exceptional organization, strong initiative, and the ability to stay one step ahead without constant direction. The Executive & Office Coordinator will be the welcoming face of the office and a trusted operator behind the scenes — someone who notices what needs to be done, follows through with care, and helps create a calm, well-run environment that supports our team and reflects our hospitality-first values.

Key Responsibilities:

Executive & Admin Support

• Oversee and organize the CEO’s inbox, flagging priorities and tracking follow-ups
• Coordinate meetings and maintain clean, realistic schedules
• Follow up on action items to ensure nothing slips through the cracks
• Run occasional errands and handle time-sensitive requests as needed
• Provide administrative support to other executives as needed

Office Coordination

• Place grocery and office supply orders and keep the space well stocked
• Coordinate vendors and maintenance when needed
• Answer phones and greet visitors with warmth and professionalism
• Keep shared spaces tidy, calm, and running smoothly

Internal Technology Support

• Build and organize training modules in our internal AI platform using content provided by leadership
• Refine and format materials so they’re clear, polished, and ready for review
• Support new systems and workflows as they’re introduced — and help others adopt them smoothly

You are:

• Tech-savvy and quick to learn new systems, including using AI tools efficiently with minimal direction
• Proactive and independent, with strong follow-through
• Friendly and comfortable being the face of the office
• Discreet and professional with sensitive information

Requirements:

• Full-time, in-office availability (no remote work)
• Valid driver’s license required and access to a reliable vehicle strongly preferred (errands and pickups required)
• 2+ years experience in a similar role
• Comfortable learning new software and tools quickly
• Applicants must be legally able to work in Canada
